Extending a Civil Service Probation Period

A probation extension gives the department more time before deciding whether to confirm or fail probation. It should have a clear reason, a defined length and a realistic plan for what will be assessed during the extra period.

Why probation may be extended

An extension may be considered where sickness absence reduced the assessment time, training or access was delayed, evidence is incomplete or progress is close but not yet sufficient. The department policy may list permitted reasons and maximum periods.

An extension is not automatically a punishment

An extension can be a genuine opportunity to complete assessment. It can also signal that employment is at risk. Read the wording carefully and ask whether failure is likely if the extension targets are not met.

What the extension letter should clarify

  • The reason for extending.
  • The new end date.
  • The standards and evidence to be assessed.
  • The support, training or adjustments to be provided.
  • The review dates and decision-maker.
  • The possible outcomes and appeal route.

Unlock the detailed extension assessment below, including how to test whether the proposal is justified, negotiate workable targets, respond to an unfair extension and use the extra period to build a stronger confirmation or appeal case.
