How to show communication skills in an AA Civil Service personal statement

Communication skills are common in Administrative Assistant job adverts. The wording may change, but the sifter usually wants to see that you can explain information clearly, use a professional tone, listen properly, and give people the information they need.

The strongest examples show communication in action. That means you should write about a real situation where someone needed information, you explained it clearly, and something improved because of how you communicated.

At AA level, this does not need to be a complex briefing or senior presentation. A good example could involve replying to a customer email, explaining a process over the phone, updating a colleague, handling a complaint, or helping someone understand what to do next.

What communication criteria can look like

Civil Service AA job adverts may use wording such as:

Clear and professional written and verbal communication

Able to explain information in a straightforward and confident manner

Comfortable speaking with customers on the phone and in writing

Use the exact wording from the job advert where you can. If the application box allows headings, you can use the criterion itself as the heading. This makes it easier for the sifter to see which part of the advert you are answering.

What your communication example needs to show

A strong communication example should show who you were communicating with and what they needed to understand.

It should also show what you personally said, wrote, checked, explained, or followed up. The best examples make the communication practical. The reader should be able to see how your actions helped the customer, colleague, or team.

A strong result can be simple. The person understood the process, the query was resolved, the complaint was avoided, the customer had clear next steps, or the team had the information it needed.

In my role as a reception assistant, I regularly dealt with visitors who needed help finding the right department or understanding appointment instructions. One visitor arrived for a housing appointment but had come to the wrong entrance and was worried they would miss their slot. I checked the appointment record, phoned the housing desk to confirm the correct location, and explained the directions clearly. I also wrote the room number and contact point on a note so the visitor had the details with them. The visitor reached the appointment on time and thanked me for explaining the process calmly.
