What Evidence and Documents to Take to a Civil Service HR Meeting

The best evidence pack is not the largest one. It is a clear set of original documents that helps the chair understand the timeline, test the concern and see the context. Take the material that answers the meeting purpose and keep the wider archive organised in reserve.

Documents to obtain before the meeting

  • The invitation, policy, process map and any employee guidance.
  • Written allegations, concerns, targets, questions or terms of reference.
  • The evidence pack, witness statements, investigation report or Occupational Health report where relevant.
  • Earlier 1-to-1 notes, review notes, feedback and action plans.
  • Documents showing possible outcomes, deadlines, accompaniment and appeal arrangements.

Evidence you may need to take

Start with the issue. For a disputed deadline, use the email showing when the dependency arrived and when you completed the work. For an adjustment issue, use the request, medical or Occupational Health material, management response and evidence of the work impact. For alleged conduct, use the message, policy, chronology and witnesses that address what actually happened.

Keep original documents

Do not rely only on copied extracts in a personal note. Save the full email, attachment, message thread or system record with the date and context visible. A selective screenshot can be challenged more easily.
