A manager may begin building a record through detailed 1-to-1 notes, written feedback, requests for explanations, closer checking and repeated references to small issues. These signs do not prove that formal action is coming. They are a reason to stop treating the situation casually and protect your own record.

Common signs of case building
- More feedback is put in writing.
- 1-to-1 notes become detailed and negative.
- You are asked to explain small delays or mistakes by email.
- Old incidents are brought together as a pattern.
- Your work is checked more closely than before.
- Positive context and dependencies disappear from the record.
- HR or another manager becomes involved.
- Words such as concern, repeated, standard, failure, conduct or improvement appear more often.
Do not assume the outcome
The manager may be responding to a genuine concern, following HR advice or improving record keeping. Your response should protect you in either case. Improve what can be improved, ask for examples and standards, correct inaccuracies and preserve evidence.
Why informal action matters
Informal notes can later be used to show that concerns were raised, expectations were set and improvement did not happen. Treat the stage before a formal letter as preparation time. Joining the union, stabilising work and exploring a move may be easier now than after a process begins.
