What evidence may be used in a disciplinary case?
- Emails and complete message chains.
- Teams or other workplace messages.
- System, audit, access or transaction records.
- Policies, instructions, training records and codes of conduct.
- Meeting notes, 1:1 records and previous warnings.
- Work documents and version histories.
- Witness statements and interview notes.
- Your written response, corrections and supporting documents.
What is a disciplinary witness?
A witness is someone who may have relevant first-hand information. They may have seen or heard the event, issued an instruction, received a message, reviewed a record or know the normal process. Their evidence should be tested for direct knowledge, consistency and supporting documents.
Can you suggest witnesses or evidence?
You can identify people and records that are genuinely relevant. Explain what fact the person or document may help establish. Do not pressure colleagues, rehearse accounts or ask someone to take your side. That can create a separate concern and damage the reliability of the evidence.
Preserve complete context
A screenshot or selected quotation can mislead. Save the full chain, visible dates and the document version that existed at the time. Do not alter records or remove inconvenient material.
