Scenario

Your team records the same case progress in a local spreadsheet and in the department’s case system. Colleagues say the spreadsheet is quicker to read, but updating both records takes time and the figures sometimes differ. You have been asked to suggest a better approach. The case system must remain the official record, although one field used for the daily team handover is difficult to find. You can speak to colleagues who use both records and arrange a short trial before any permanent change. The aim is to reduce duplication without removing information that the team genuinely needs.

Map what each tracker is used for, ask colleagues which information they need, and trial a process based on the official system with a simple handover view.
